Hospitality at NIT Trichy for during Pragyan 2026

Event Description

1. Every individual will have to register separately for the accommodation .

2. Only registered participants will be eligible to enter Pragyan and participate in events, workshops, guest lectures, etc.

3. Upon the completion of your registration, an acknowledgement mail will be sent to your registered email ID. It will contain the registration payment link that will automatically be updated to your Pragyan QR.

4. It is mandatory to have your institute ID card and Pragyan QR with you at all times when you arrive at NIT Trichy.

*Please note that there is only a limited number of seats available for accommodation, and they will be filled on a first-come-first-served basis.

Upon reaching the campus:

5. Refer to the ‘Directions’ section above to find your way to the campus. Upon arrival, everyone must report to the PR Desk stationed in front of the Security Office along with their Pragyan QR.

*Female participants are requested to reach the campus before 22:00 on the day of arrival.

6. You will be issued a Pragyan registration kit.

7. Without your institute ID card, your Pragyan QR will be considered invalid.

8. If you have not registered for accommodation, you can register (subject to availability) and pay at the adjacent Hospitality Desk by producing a soft copy/printout of the acknowledgement mail sent to you. You will receive a hospitality kit upon the completion of your registration.

*Caution deposit is mandatory for accommodation.

**Caution deposit will be refunded at the sole discretion of Pragyan.

RULES:

1. Kindly note that all accommodation is entirely on a sharing basis, and any requests for separate rooms or complaints in this regard will not be considered.

2. Kindly note that the registration for Hospitality is separate from the Event registration process.

3. Only the duration of 19/02/2026 from 17:00 hrs to 23/02/2026 at 11:00 hrs will be designated as the availability of the hospitality period.

4. Kindly note that your caution deposit will not be refunded if you do not get it within Valediction or the time specified by the PR team.

5. The period of stay for your accommodation will be 24 hours from the time of your arrival. You will be expected to check out at the PR Desk promptly, with a buffer time of an extra 1 hour offered for your convenience. You will be charged for the next day if you exceed the time limit.

6. After your stay at NIT Trichy, we will consider you to have checked out only if you report to the PR Desk and not when you vacate the hostel premises. Only then will your caution deposit be refunded.

7. Girls are required to strictly follow the institution's norms which are to stay within the girls’ hostel premises or designated areas - 06:00 hrs to 21:00 hrs on weekdays and 06:00 hrs to 21:30 hrs on weekends strictly.

8. Please be mindful of your belongings while you stay at NIT Trichy. Pragyan‘25 and the institute cannot be held accountable for any property loss. Kindly exercise your responsibility in this matter.

9. Smoking, drinking, and all forms of drugs are strictly forbidden within the campus grounds.

10. Any act of misbehavior or misconduct inside the campus will be severely dealt with, leading to the immediate expulsion of the team (in question) from the campus and cancellation of their registration. No refunds will be issued.

11. Participants who cause damage to institute property during their stay will face full forfeiture of their caution deposit or pay the cost of repairs, whichever is greater.
